Introduction

A well-established private family office is looking for a highly organised and detail-oriented Administrator to provide administrative and compliance support across a diverse portfolio of companies, trusts, properties and related interests.

This is not a Company Secretary or Compliance Officer position. We are looking for someone with strong administration skills who has some exposure to compliance, statutory administration or financial administration and is comfortable learning and taking ownership of new responsibilities.

Duties & Responsibilities

You will provide administrative support across a number of entities and assist with keeping important statutory and compliance matters up to date. The role requires someone who is organised, proactive and able to keep track of multiple deadlines and requirements without needing constant supervision.

Your responsibilities will include:

  • Assisting with CIPC administration, including annual returns, company changes and statutory documentation.
  • Assisting with SARS/eFiling administration and correspondence.
  • Maintaining accurate company, trust and compliance records.
  • Assisting with FICA documentation and compliance.
  • Supporting the administration of trusts, companies, NPCs and properties.
  • Maintaining registers, spreadsheets, checklists and compliance schedules.
  • Following up on outstanding documentation and deadlines.
  • Assisting with regulatory and licence-related administration, including liquor licence administration.
  • Preparing documentation, correspondence, resolutions and meeting information where required.
  • Liaising with SARS, CIPC, financial institutions, professional advisors and other stakeholders.
  • Handling confidential information with a high level of discretion.

Desired Experience & Qualification

We are not expecting one person to know everything.

You may come from a background in:

  • Company secretarial administration
  • Compliance administration
  • Trust administration
  • Accounting or tax administration
  • Financial services
  • Legal administration
  • Corporate administration
  • Or a similar administrative environment

What is important is that you have some understanding of compliance and statutory administration, are comfortable working with documentation and deadlines, and have the ability and willingness to learn.

You should be:

  • Highly organised and exceptionally detail-oriented
  • Proactive and able to work independently
  • Comfortable managing multiple priorities and deadlines
  • Confident following up when information is outstanding
  • Professional and discreet when dealing with confidential information
  • Comfortable communicating with senior stakeholders
  • Strong in Microsoft Office, particularly Excel
  • Able to work accurately without needing constant instruction

 

Minimum Requirements

  • Matric
  • 3–5+ years' relevant administration experience
  • Previous exposure to compliance, statutory, financial, company or trust administration
  • Good computer literacy, particularly Microsoft Excel
  • Excellent attention to detail and organisational skills
  • A valid driver's licence would be advantageous

You do not need to be a qualified Company Secretary, Tax Practitioner or Compliance Officer. We are looking for a capable administrator with the right foundation, attitude and willingness to learn.

 

 

Package & Remuneration

Salary: Market-related and commensurate with experience.
