Well-established private family office is looking for an Executive Assistant to support two family principals. This is a great opportunity to be a trusted, right-hand partner within a small, close-knit team where relationships matter and tenure is the norm (several staff have been with the family for 20+ years). In this hybrid role, you'll own calendar and schedule management, coordinate travel, and jump in on ad hoc special projects as they come up - anything from visa applications to coordinating logistics across the family's properties. Someone who is a true EA at heart, genuinely passionate about the craft and the day-to-day of the work itself, highly organized and detail-oriented, discreet, and comfortable working independently. This is a hybrid role based in Marin County, CA, generally three days a week in office. 125-150K DOE + a strong benefits package.

Responsibilities:

  • Manage complex calendars and scheduling across two principals, proactively flagging conflicts and gaps before they become problems.
  • Coordinate all travel logistics, including frequent international trips.
  • Own ad hoc and special projects as they arise, from visa and paperwork processes to coordinating logistics across multiple family properties.
  • Provide light personal support, including family travel coordination, appointment scheduling, and pet care logistics.
  • Liaise with a small internal team, including another longtime family assistant and administrative staff, to keep everything running smoothly.
  • Maintain meticulous, detail-oriented systems for trip history, preferences, and recurring needs so nothing has to be remembered from scratch each time.
  • Opportunity to contribute to light investment research and special projects over time, for candidates with a genuine interest.
Qualifications:
  • Previous experience as an Executive Assistant or personal assistant, ideally supporting a principal, executive, or family in a fast-paced, detail-heavy environment.
  • Exceptional organizational skills and follow-through, with a genuine passion for the craft of being a great EA.
  • High level of integrity, discretion, and trustworthiness with sensitive personal and financial information.
  • Strong intellectual curiosity and the ability to keep pace with a sharp, direct communication style.
  • Comfortable working independently and managing ambiguity, including last-minute changes to plans.
  • Tech-savvy with everyday tools (email, calendaring, basic device troubleshooting); familiarity with Apple products is a plus.
  • Punctual and reliable, with the flexibility to work a set hybrid schedule.
  • Must be based in or able to reliably commute to Marin County, CA.
