Do you thrive in a dynamic, client-focused environment where analytics, decision-making and advisory converge? Our Family Office is seeking an energetic and detail-oriented Client Services Officer to join our team and partner with fantastic clients. 

This is a 12-month fixed term maternity leave cover role located either in Geelong or Melbourne.

About the Role

We’re looking for a highly organised, proactive administrator, with experience communicating with a diverse range of stakeholders. This role reports to the Client Administrator and will be pivotal in supporting daily operations and client service delivery, including managing administrative tasks, office operations and assisting with client-related activities to maintain the smooth functioning of the Family Office division.

Client Support

  • Assist with client communication and direct inquiries to appropriate team members
  • Support preparation of client meeting materials, documentation, and monthly reporting
  • Maintain client databases and records with accuracy and confidentiality. 

Administrative & Financial Operations

  • Perform data entry and information collation
  • Manage filing systems (physical and electronic) and routine administrative tasks
  • Support invoicing processes and basic accounts receivable/payable functions

General Support

  • Contribute to continuous process improvement initiatives
  • Provide additional support to the Client Administrator and Family Office team as needed

Skills And Experiences

As our new team member, you will have:

  • Administrative or office support experience highly valued
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong data entry skills with high attention to accuracy
  • Experience with database management systems preferred
  • Basic understanding of invoicing and accounting principles beneficial
  • Excellent organisational and time management skills
  • Strong attention to detail and accuracy
  • Professional written and verbal communication skills
  • Ability to multitask and prioritise competing demands
  • Strong interpersonal skills and team collaboration abilities
