Key Responsibilities

Financial Accounting & Reporting - 50% of Job

  • Manage daily accounting for multiple family entities using QuickBooks.
  • Prepare journal entries and maintain general ledger operations.
  • Perform monthly close and prepare monthly financial statements.
  • Reconcile bank accounts, credit cards, loans, and investment-related activity.
  • Prepare financial analysis, forecasts, or projections as requested.
  • Create and maintain data visualizations and dashboards that illustrate financial trends, spending patterns, and forecasting insights.
  • Support annual budgets and assist with year-end financial tasks.

Payroll & Benefits Administration โ€“ 10% of Job

  • Process payroll for household staff.
  • Ensure compliance with relevant state and federal payroll requirements.
  • Remain current on changes in payroll and benefits regulations and operational best practices.
  • Maintain payroll records and assist with annual reporting (W-2, 1099, etc.).

Accounts Payable & Cash Management โ€“ 30% of Job

  • Manage bill pay from invoice intake through approval and payment.
  • Maintain vendor records; ensure proper documentation and coding.
  • Track cash flow across entities and coordinate funding requests as needed.
  • Monitor and resolve banking issues, including unusual or urgent items.

Entity & Asset Support - 5% of Job

  • Assist with accounting and recordkeeping for real estate and investment entities.
  • Maintain organized financial files for audit and tax support.
  • Work with external advisors as needed for legal, insurance, or banking matters.

Operational & Special Projects - 5% of Job

  • Assist with operational projects across the family office, including process improvements, documentation updates, and systems enhancements.
  • Support policy maintenance and ongoing research of best practices across accounting, payroll, operations, and governance.
  • Maintain sensitive financial and personal data in accordance with privacy and security standards.
  • Identify opportunities for enhanced technology, automation, or AI tools that improve accuracy, efficiency, and workflow across the office.
  • Provide support on family events, travel, or special initiatives requiring financial coordination.
  • Participate in developing and improving internal controls to safeguard family assets.

Qualifications

  • Bachelorโ€™s degree in Accounting or Finance preferred.
  • 3+ years of accounting experience and/or strong bookkeeping experience (5+ years) with full ownership of books
  • Proficient in QuickBooks (Online or Desktop).
  • Strong Excel and Microsoft Office skills
  • Highly organized, accurate, and comfortable working with sensitive information
