About the Position

A private family office in McLean, Virginia, is seeking a highly organized and detail-oriented Bookkeeper to support its day-to-day financial operations. This is a meaningful, long-term opportunity offering a flexible daytime schedule and the ability to structure the role as either a freelance engagement or a guaranteed part-time salaried position.

During the first six months, the Bookkeeper will work approximately 20 hours per week while becoming familiar with the family’s financial structure, developing relationships with its trusted advisors, and establishing efficient processes. Once fully onboarded and systems are running smoothly, the position is expected to transition to approximately 10–12 hours per week for ongoing maintenance.

The family office works closely with an experienced finance professional who supports multiple family offices. As the position evolves, there may be opportunities for the Bookkeeper to expand their responsibilities and support additional family offices, allowing for professional growth and increased hours if desired.

Responsibilities

  • Process and maintain accounts payable and accounts receivable.
  • Download, categorize, and reconcile credit card transactions.
  • Reconcile bank accounts and promptly investigate any discrepancies.
  • Maintain accurate and up-to-date financial records and bookkeeping entries.
  • Organize and maintain financial documents, statements, receipts, and supporting records.
  • Assist with monthly, quarterly, and annual financial reporting requirements.
  • Coordinate with external tax professionals, accountants, financial advisors, and other trusted professionals as needed.
  • Ensure all financial information and records are handled with the highest degree of accuracy, discretion, and confidentiality.
  • Evaluate current workflows and identify opportunities to improve efficiency.
  • Help automate routine bookkeeping and reporting tasks where appropriate.
  • Leverage modern technology and AI tools to streamline processes and enhance financial reporting.
  • Take ownership of assigned responsibilities and proactively follow through on outstanding items.

Qualifications

  • Previous professional bookkeeping or accounting experience is strongly preferred.
  • Experience supporting a high-net-worth family, family office, small business, or professional services firm is a plus.
  • Familiarity with QuickBooks or similar accounting software is preferred.
  • Exceptional attention to detail and commitment to accuracy.
  • Strong organizational and time-management skills.
  • High degree of professionalism, discretion, and confidentiality.
  • Ability to work independently, take initiative, and manage responsibilities with minimal oversight.
  • Comfortable working with financial systems, spreadsheets, cloud-based technology, and digital recordkeeping platforms.
  • Strong written and verbal communication skills.
  • Interest in technology, automation, process improvement, and AI tools.
  • Ability to recognize inefficiencies and proactively recommend practical solutions.
