Operations Manager – Family Office

The Operations Manager for BPB’s Family Office Practice plays a key role in overseeing the operational infrastructure that supports our multi-family office clients. This individual ensures that internal systems, processes, and client servicing functions run efficiently, consistently, and in alignment with the firm’s high standards of excellence. The ideal candidate is a proactive leader who thrives on building structure, optimizing workflows, and fostering collaboration across teams.

Key Responsibilities

  • Develop, implement, and maintain operational workflows that enhance efficiency and support client service delivery.
  • Facilitate coordination among firm departments, ensuring seamless communication and task execution.
  • Manage vendor relationships, negotiating service terms and monitoring performance.
  • Leverage firm dashboards and metrics to monitor operational efficiency, resource utilization, and client deliverables.
  • Oversee billing processes, expense tracking, and client fee calculations to ensure accuracy and timeliness.
  • Enhance and maintain task and project management systems that enable timely and consistent client service.
  • Oversee the delivery of client deliverables, including accounting, financial reporting, treasury management, and administrative support.
  • Ensure strict adherence to confidentiality and data security protocols for all client information.
  • Maintain compliance with firm-wide policies and internal controls.
  • Support risk management efforts by monitoring adherence to regulatory and operational standards.
  • Oversee the firm’s Family Office technology stack, including CRM, portfolio accounting, financial reporting, and document management systems.
  • Lead data integrity initiatives, ensuring accuracy, consistency, and reliability across all platforms.
  • Identify, evaluate, and implement new technologies and automation tools that enhance operational capabilities.
  • Supervise, mentor, and develop operations staff including analysts, accountants, and administrators.
  • Create and maintain standard operating procedures (SOPs), process documentation, and training materials.
  • Promote a culture of accountability, continuous improvement, and service excellence.
  • Partner with senior leadership on initiatives related to scalability, efficiency, and process innovation.
  • Support business development and client onboarding by improving workflow efficiency and reporting quality.
  • Contribute to financial planning and management, including budgeting, cost control, and profitability analysis.

Qualifications and Skills

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field (MBA or CPA preferred).
  • 5–7 years of progressive experience in accounting, wealth management, or multi-family office operations.
  • Strong understanding of accounting processes and financial reporting principles.
  • Demonstrated experience managing professional teams and fostering collaboration.
  • Excellent organizational, analytical, and communication skills.
  • Proven ability to manage multiple priorities and deliver results in a fast-paced environment.
  • High level of integrity, professionalism, and discretion in handling sensitive client information.
