Our client is seeking a polished and highly organized Manager of Operations (Home Office) to oversee administrative and operational functions for a private family office in Coral Gables, FL. The ideal candidate will bring a background in executive or personal support within a private family or family office setting, with strong administrative, organizational, and leadership skills. This role requires exceptional discretion, flexibility, and the ability to thrive in a fast-paced, dynamic environment.
Responsibilities:
-Oversee daily operations of the private home office, ensuring seamless coordination across projects and priorities.
-Manage household staff, vendors, and service providers, including construction, insurance, and art-related partners.
-Track budgets, expenses, and invoices while maintaining accurate financial records.
-Coordinate calendars, meetings, and communication across family and office matters.
-Maintain organized digital systems and files using platforms such as SharePoint, Outlook, Monday.com, and QuickBooks.
-Partner closely with the Family Assistant and other team members to manage personal and household logistics.
Qualifications:
-5+ years of experience in an executive, personal, or operations support role within a private family, estate, or office.
-Strong administrative and digital skills with a systems-based, proactive mindset.
-Bachelorβs degree preferred; experience managing people and workflows required.
-Highly organized, detail-oriented, and capable of managing multiple priorities.
-Maintains strict confidentiality and flexibility, including occasional on-site and after-hours support.
-Fluency in French is a plus.
