Introduction

The Data / Project Manager will be responsible for overseeing data management processes, implementing and driving key projects across the family office, and supporting the seamless integration of technology, reporting, compliance, and operations. The ideal candidate is detail-oriented, proactive, and capable of bridging strategy with execution in a discreet and high-trust environment.


Duties & Responsibilities

  1. Data Management

- Maintain and oversee master data sets across legal entities, trusts, investments, and service providers

- Ensure integrity and consistency of information across systems (document storage, portfolio tracking, etc.)

- Drive improvements in data quality, structuring, and reporting workflows

- Manage data permissions and access protocols within the office’s systems

  1. Project Management

- Lead and coordinate internal strategic and operational projects

- Develop project plans, timelines, and deliverables across various departments

- Liaise with legal, investment, tax, and admin teams to ensure aligned execution

- Track and report on milestones, risks, and dependencies

Reporting & Analysis

- Assist with preparation of investment dashboards, asset tracking summaries, and quarterly reporting packs

- Support ad hoc reporting needs from principals, trustees, and advisors

- Identify and implement tools or solutions to enhance reporting efficiency

Process & Systems

- Evaluate and improve workflow systems

- Champion best practices for document version control, digital archiving, and process automation

- Support digital transformation initiatives across the office


Desired Experience & Qualification

Matric and relevant tertiary qualification

A minimum of 5+ years' experience in project management, data analytics, operations or related roles

- Strong proficiency in Excel, cloud-based tools, and data visualization platforms

- Experience managing projects with cross-functional teams

- Familiarity with legal structures (trusts, companies, etc) and investment reporting is essential

High attention to detail and data accuracy

Strong organisational and problem solving skills

Discretion, confidentiality and trustworthiness - essential

Excellent interpersonal and written communication

Self motivated, able to manage multiple tasks independently
