Do you thrive in a dynamic, client-focused environment where analytics, decision-making and advisory converge? Our Family Office is seeking an energetic and detail-oriented Client Administrator to join our team and partner with fantastic clients. 

 

The Role

This role is pivotal to facilitating relationships between the Family Office team, its clients, third party providers and stakeholders.  We're looking for someone who is highly organised, and is able to action client requests in a timely manner, assist in running family meetings and attending to administrative and bookkeeping tasks.  Key success metrics for this role are exceptional client service skills, a great problem solver and developing a deep understanding of our clients are key indicators for success in this role.

 

As a Client Administrator you will be responsible for:

  • Financial Reporting & Administration Support monthly and quarterly reporting processes, including investment data management through platforms like Praemium and Netwealth. Handle accounts payable, cashflow projections, and bill processing for clients.
  • Communication & Coordination Act as central communication hub for the Family Office team, ensuring consistent messaging to all stakeholders. Prepare for and support client meetings, including minute-taking and follow-up actions.
  • Client Onboarding & Relationship Management Guide new Family Office clients through the complete onboarding journey from initial proposal to full implementation. Maintain accurate client registers and manage relationships with external providers including banks, solicitors, and property agents.
  • Team Development & Process Improvement Share expertise about Family Office services with team members and clients. Contribute to ongoing process improvements and provide flexible support to handle team workload as needed.
  • Core Focus: Delivering seamless client experiences while driving business growth through relationship building and operational excellence.

 

As our new team member, you will have:

  • Excellent communication and people skills as you will be collaborating with senior stakeholders, clients as well as 3rd party suppliers and team members
  • Strong client service background and experience
  • Experience in a similar role within a professional services firm or finance firm
  • Strong attention to detail and proactive about learning 
  • Bookkeeping or Accounting Degree (optional)
