Position: Full-Time Executive Chief of Staff (Private Family Office)
Schedule: Monday–Friday, standard business hours with flexibility as needed
Salary: $120,000–$130,000 per year, depending on experience, 14 days PTO, holidays off paid, health insurance.
Start Date: Flexible / ASAP for the right candidate
Relocation: Yes – open to relocating the right candidate nationwide


About the Family Office
A private family office is seeking a highly skilled, trustworthy, and experienced Chief of Staff to oversee the financial, operational, and administrative needs of the family and possible business interests. The family currently hires this out and is looking to bring their own team member on to handle the books for them, as well as HR needs, and other various admin tasks. Must be a team player who can work well with other staff. There is an Estate Manager on to handle more of the “on the ground running” needs.

This role is designed for a seasoned professional who can confidently take ownership of all moving parts of the family office and household operations. The family is seeking a very long-term hire—someone who will become a trusted partner and bring stability, structure, and efficiency to their day-to-day operations.


Responsibilities
Financial & Bookkeeping Oversight

  • Take full ownership of the family’s financial records, including reviewing, correcting, and maintaining accurate books
  • Identify and resolve discrepancies; “fix” and streamline existing bookkeeping systems as needed
  • Coordinate closely with accountants, tax professionals, and local business partners
  • Oversee tax preparation, filings, and compliance
  • Track budgets, expenses, and cash flow across all household and family office entities
  • Manage large financial projects such as construction on homes

Household & Staff Management

  • Manage all new employees onboarding, scheduling, payroll, and HR matters
  • Oversee payroll processes to ensure accuracy and timeliness
  • Able to work with other staff (Estate Manager, Housekeepers, private educators)

Chief of Staff

  • Proactively anticipate needs, solve problems, and improve efficiency across all areas
  • Handle sensitive matters with absolute discretion, honesty, and professionalism

Ideal Candidate & Personality
The ideal candidate is exceptionally trustworthy, honest, and discreet, with a proven track record in a similar Chief of Staff or family office role. They are a self-starter who does not require micromanagement and is confident handling complex responsibilities independently.

This individual is highly organized, skilled at managing many moving parts, and able to execute tasks efficiently and effectively. They bring strong financial acumen, excellent judgment, and a calm, solutions-oriented approach. The family is seeking someone who takes pride in their work, values long-term commitment, and is interested in growing with the family over time.


Requirements

  • Significant experience as a Chief of Staff, Family Office Manager, or similar role supporting a private family or HNW individual
  • Strong bookkeeping, financial management, and organizational skills
  • Experience overseeing payroll, HR processes
  • Exceptional references demonstrating trustworthiness and longevity in prior roles
  • Legal authorization to work in the United States
  • Willingness to relocate
