Position Summary

The Cerity Partners Family Office is seeking a client-focused and detail-oriented Bill Pay & Concierge Specialist to join our Bill Pay Team. In this role, you will manage the end-to-end bill payment process, organize ongoing projects, and coordinate high-touch concierge requests for UHNW individuals and families. The ideal candidate thrives in a fast-paced environment, has exceptional organizational skills, and brings a solutions-oriented, client-centric mindset to all aspects of their work.

Primary Responsibilitiesβ€― 

Bill Pay & Expense Management:

  • Manage the full lifecycle of bill payments, including intake, processing, approvals, and reconciliation
  • Diligently organize and monitor all open invoices, outstanding balances, and recurring bills, ensuring all obligations and deadlines are met

Client & Concierge Support:

  • Serve as a primary point of contact for clients, vendors, and third parties on a wide range of bill pay and administrative matters
  • Coordinate personal and concierge tasks such as renovation tracking, household employee support, and ad hoc requests
  • Provide exceptional client experiences, responding promptly and professionally to all client requests with a high level of discretion and care

Process & Technology:

  • Collaborate with advisors, client teams, and internal specialists across cross-functional initiatives
  • Leverage proprietary tools and resources to ensure timely and accurate completion of all deliverables
  • Support the implementation of new technologies, tools, and process improvements to enhance team efficiency

Required Qualifications

Skills & Attributes:

  • Meticulous attention to detail and commitment to accuracy
  • Client-first mindset with excellent verbal and written communication
  • Strong organizational and time-management skills
  • Comfortable handling sensitive information with professionalism and discretion
  • Proactive, resourceful, and independently motivated

Technical Proficiency:

  • Experience with bill payment systems, Bill.com preferred
  • Strong working knowledge of Microsoft Office, particularly Excel
  • Experience with QuickBooks a plus
  • Ability to adapt and learn new systems and tools quickly

Experience & Education:

  • 5+ years of experience in bill pay, accounts payable/receivable, banking, or related finance role
  • Experience working directly with clients or vendors in a service-oriented capacity preferred
  • Bachelor’s degree or equivalent professional experience
