An exciting opportunity has arisen for an experienced and highly organised Team Assistant to join a busy Family Office, providing dedicated support to the principal, alongside the Director of the Family Office and the wider team.

This is a standalone position, separate from the Family Office's two-PA on-duty rota, focused on delivering seamless personal, project and administrative support. The successful candidate will be proactive, discreet and highly adaptable, with the ability to anticipate needs, manage multiple priorities and build trusted relationships across a fast-moving private environment.

The role offers significant variety, combining traditional private PA responsibilities with lifestyle management, project coordination, event support, research and international travel. It would suit someone who enjoys taking ownership, thrives on variety and takes pride in delivering exceptional support behind the scenes.

Hours: Full-time

Location: Hybrid, with regular office attendance required (location dependent on the Principal)

Salary: £40,000–£50,000 depending on experience

Travel: Up to 45 days per year, including India and other international destinations

Start Date: ASAP

The Role

Working directly with the principal while supporting the Director of the Family Office and wider team, you will become a trusted extension of the Family Office, ensuring personal priorities, projects and day-to-day administration are managed efficiently and discreetly.

This role requires exceptional organisation, initiative and flexibility, with the confidence to manage a varied workload independently while maintaining the highest levels of professionalism and confidentiality.

Key Responsibilities

Principal Support

  • Manage calls, messages and correspondence on behalf of the principal
  • Anticipate day-to-day requirements and proactively manage requests
  • Maintain complete confidentiality across all personal and professional matters
  • Act as a trusted point of contact for the principal's daily needs

Family Office Support

  • Provide administrative support to the Director of the Family Office
  • Coordinate diaries, correspondence and document management
  • Act as a liaison between the principal and the wider Family Office where appropriate

Projects & Events

  • Coordinate personal projects including private functions, family occasions, house moves and renovations
  • Manage timelines, supplier relationships and project budgets
  • Oversee logistics and ensure projects are delivered to the principal's standards

Lifestyle Management

  • Coordinate personal appointments including beauty, wellness and healthcare
  • Maintain knowledge of the principal's preferred providers and routines
  • Arrange bookings and manage ongoing lifestyle administration

Gifting & Personal Shopping

  • Manage gifting calendars and coordinate gifts for family, friends and professional contacts
  • Source, purchase, wrap and arrange delivery of gifts
  • Undertake personal shopping and manage returns and exchanges
  • Maintain gifting budgets and expenditure records

Styling & Travel

  • Support the styling team with fittings, deliveries and scheduling
  • Coordinate wardrobe logistics ahead of engagements and travel
  • Travel with, or ahead of, the principal when required
  • Manage travel logistics, packing coordination and local arrangements

Research

  • Conduct detailed research across lifestyle, travel, suppliers, restaurants and personal projects
  • Present concise recommendations rather than raw information
  • Maintain records of preferred suppliers and service providers
  • Support ad hoc research projects for the Director of the Family Office

Candidates must be / have:

  • Previous experience as a Personal Assistant, Private PA or in a similar lifestyle management role
  • Excellent discretion and the ability to maintain complete confidentiality
  • Outstanding organisational skills with exceptional attention to detail
  • The ability to manage multiple priorities independently with minimal supervision
  • Excellent written and verbal communication skills
  • Strong research skills with the ability to present concise recommendations
  • Willingness to travel internationally for up to 45 days per year, including regular travel to India
  • A valid passport with no travel restrictions (and a full driving licence where applicable)
  • Experience within a Family Office, private household or supporting HNW principals would be advantageous
  • Experience coordinating personal projects, events or lifestyle management would be beneficial

Working Style

This is a standalone role and does not form part of the Family Office's two-PA duty rota.

The position is hybrid, with regular office attendance required depending on the principal's location, alongside international travel throughout the year.
