Overview

A private family office is seeking an exceptional Senior Personal Assistant to provide high-level, proactive support within a fast-paced and dynamic environment. This role supports a high-profile principal with diverse personal and professional commitments. This family office has a wonderful team and is looking for someone who has extensive experience in booking luxurious travel. Responsibilities

Complex Travel Management:

  • Plan and coordinate multifaceted domestic and international travel, including private jets, commercial flights, hotel accommodations, airport greeters, and ground transportationโ€”ensuring all details are executed seamlessly with luxury-level precision

Calendar & Scheduling:

  • Oversee and manage intricate calendars, balancing personal, professional, and family-related appointments with a high degree of accuracy and foresight.

Errand Running & Personal Support:

  • Handle a wide range of personal errands, including shopping, deliveries, and household coordination, maintaining confidentiality and professionalism at all times.

Research & Reservations:

  • Conduct research for products, services, and experiences; book restaurants, entertainment, shows, and special events with attention to quality and detail.

Health

  • Schedule and manage medical, fitness, and wellness-related appointments to ensure timely follow-ups and effective coordination with practitioners.

Liaison & Communication:

  • Serve as a point of contact between the Chief of Staff, the principal, and external partners, maintaining clear and professional communication across all levels.

Administrative Excellence:

  • Prepare reports, track expenses, and maintain confidential records with precision and discretion.

Qualifications

  • The ideal candidate will possess impeccable organizational skills, discretion, and the ability to manage complex logistics with grace and precision. 
  • Prior experience booking travel, ideally someone with a travel agency or concierge background

Requirements

  • Minimum 5โ€“7 years of experience as a personal assistant, concierge, travel agent, or similar role supporting high-profile or UHNW individuals.
  • Proven success managing complex travel logistics and multi-layered scheduling.
  • Exceptional attention to detail, time management, and problem-solving abilities.
  • Strong written and verbal communication skills.
  • Tech-savvy and proficient with calendar, travel, and communication tools (e.g., Google Suite, Microsoft Office, Apple products, Concur, etc.).
  • Ability to work independently and collaboratively, adapting to shifting priorities with professionalism and poise.
  • Discreet, trustworthy, and capable of maintaining the highest levels of confidentiality.

Salary and Benefits

  • DOE $130k-$150k + annual with full health and 401k, discretionary bonus
