Overview and Opportunity
Our client, a UHNW family office, is seeking a highly professional and proactive Property & Operations Assistant to support the CFO in overseeing the management of multiple private properties. This is a unique opportunity to join a dynamic environment where attention to detail, discretion, and efficiency are paramount. Reporting directly to the CFO, the Property & Operations Assistant will play a key role in supporting the smooth running of multiple private properties. The role requires exceptional organisational skills, discretion, and the ability to deliver high-quality outcomes across all areas of responsibility. Acting as a trusted partner to the CFO, you will provide seamless operational and administrative support, enabling swift and well-informed decision-making. You will bring a proactive mindset, applying logic, efficiency, and common sense to every task, while maintaining professionalism and transparency at all times.
 
Role Responsibilities

  • Oversee the stewardship of private properties, including rentals, short-term lets, and residences for private use.
  • Manage property maintenance through routine inspections, proactive issue resolution, and supervision of AMC providers and contractors, ensuring high-quality standards are consistently met.
  • Support property improvement projects and renovations, providing transparent updates and accurate reporting.
  • Conduct site visits to off-plan properties and provide timely progress updates.
  • Maintain accurate property administration, records, and security protocols, including key control and property access.
  • Prepare and manage tenancy contracts in line with legal requirements, addressing tenant issues promptly and professionally while maintaining positive relationships with tenants, agents, and suppliers.
  • Provide operational support to the CFO across scheduling, HR, finance, legal matters, and travel arrangements.
  • Manage property-related invoices, utilities, and reconciliations, producing accurate monthly financial reports.
  • Deliver clear daily updates and consolidated weekly reports to the CFO.
  • Support recruitment processes, including interviews and onboarding of new staff.
  • Handle ad-hoc tasks and errands with discretion, confidentiality, and efficiency.

Candidate Requirements

  • Recognised qualification or 5+ years of relevant experience in a similar role.
  • Broad experience in private residential property management.
  • Strong background supporting operational functions (Finance/HR/Legal).
  • Minimum 10 years’ professional experience, ideally across both corporate and family office settings.
  • Stable career history (previous roles held for 3+ years).
  • Street smart, pragmatic, calm, and patient with strong problem-solving skills.
  • Excellent research and analytical skills; able to synthesise and communicate information succinctly.
  • Flexible with a 24/7 service mindset.
  • Highly articulate and precise in both written and spoken work.
  • Based in Dubai with a valid UAE driving licence and minimum 3 years’ local driving experience.
