Position Summary
The Program Associate (“PA”), Philanthropic Services supports the Vice President, Philanthropic Services in the administration of the Young Adults Forward Fund. This position supports the project administration, budget administration and grants management of the Young Adults Forward Fund as well as research and community relations.
PRIMARY RESPONSIBILITIES
Primary responsibilities will include, but not be limited to:
Grants Management
Grants administration of the Young Adults Forward Fund’s grantmaking portfolio for existing and prospective grantee organizations including:
- Facilitating the discovery and due diligence process of prospective grantees for program staff and donor family
- Coordinating grant awards including collaborating with program staff, donor family, grants management and other partners to ensure terms are reflective of collective expectations
- Monitoring grant lifecycle including the production of grant agreements, progress reports, payment requests, and other related correspondence and meetings with grantees
- Tracking the budget of the initiative including grant payments, totals awarded to date and other relevant items related to grant funds
- Working closely with program staff, donor family and other partners to apply and improve existing processes and practices
- Drafting grantmaking materials including meeting agendas, due diligence criteria, applications, reporting template, etc.
- Providing data analysis, monitoring and evaluation of grants portfolio as needed
Program Administration
Program administration of the fund including:
- Scheduling calls, in-person meetings, and site visits with the fund’s relationships, relevant staff, grantees, prospective grantees, and other relevant stakeholders
- Meeting management including agenda drafting, notetaking, circulation, and follow-up of stakeholder meetings and convenings
- Maintaining internal project management infrastructure including internal files and other systems
- Routine clerical tasks as required
Relationship Management & Community Engagement
Provide responsive client service and administer the relationship engagement timeline of the initiative and program team including:
- Providing outstanding client services for the donor family, grantee partners and other stakeholders
- Providing support in representing the fund at stakeholder meetings, convenings, site visits, webinars, etc. as discussed with colleagues
Research
Conduct research and analysis on potential and current grantees, landscape of providers, relevant policies, networks, evidence base of program models, etc. as requested by colleagues and the initiative’s relationships including:
- Attending various workshops and training relevant to the work of the initiative and report back to the broader team on insights.
- Conducting research as part of the discovery, due diligence, monitoring and evaluation parts of the grantmaking lifecycle with prospective and current grantee relationships.
DESIRED EDUCATION
- Bachelor’s degree from an accredited 4-year university
- Industry certification an advantage, but not essential
EXPERIENCE
- Minimum of three (3) years of experience working on mission-driven programs; preference for experience in a relevant field (housing, homeless services, youth development, economic opportunity and/or mental health). Experience with grantmaking and complex project management to achieve results are preferred. Previous experience with developing and working with program budgets and understanding of nonprofit financial models is preferred.
- Project Management Skills: Strong organizational skills and attention to detail. Ability to prioritize work effectively and adjust to multiple demands with consistent attention to timelines.
- Financial Budgeting and Administrative Skills: Experience and strength in tracking expenses against a budget and performing analytics on spending by category. Familiarity with nonprofit financials as well as social capital markets (government and private funding) preferred.
- Community and Field of Interest Knowledge: Knowledge of the Los Angeles County nonprofit community, familiarity with diverse neighborhoods throughout the region, and experience in working effectively with diverse and broad-based community constituencies is preferred.
- Meeting Administration: Experience with meeting and/or site visit agenda drafting, minute taking and follow up preferred.
- Communication and Analytical Skills: Solid analytical, excellent interpersonal, verbal and written communication skills and excellent client service skills required. Ability to prepare and give presentations, collaborate and comfortably interact with diverse audiences including donors, nonprofit, government officials and community groups is required. Ability to gather, analyze, and visualize quantitative and qualitative data is required.
- Technology Skills: Internet competency and strong computer proficiency, including mastery of the Microsoft Office software suite and a familiarity with database software, is required. A willingness and ability to learn appropriate database, spreadsheet and other computer programs.
- Teamwork & General Skills: Ability to work well independently and as team member. Ability to take initiative and follow tasks through to completion.

Whittier Trust offers competitive compensation including base, bonus, 401(k) match, dental, medical and life insurance and other employee centric benefits.
Base Salary $65,000 - $85,000 per annum.
