We are seeking an exceptional Private Executive Assistant to provide high-level, full-spectrum support to the President. This role blends executive support, household and property oversight, global travel coordination, and family relationship management. It is designed for a professional who brings experience, poise, and long-term commitment to a role of deep trust and broad responsibility.
The individual must be capable of independently managing multi-residence household operations, coordinating international travel logistics, and maintaining ongoing relationships with family contacts, vendors, and family service providers. The ideal candidate is deeply organized, emotionally intelligent, and has a strong track record of supporting executives with demanding schedules and multifaceted personal affairs. You are someone who brings structure without rigidity, and handles sensitive situations with poise and absolute discretion. This is a long-term position for someone who values stability, takes pride in precision, and is able to work closely with the President across family and personal spheres.
Responsibilities
- Serve as the Presidentβs primary points of coordination across family, personal, and household matters, always ensuring seamless execution and discretion while protecting the Presidentβs time and focus
- Oversee the operations of multiple family residences, ensuring smooth day-to-day management of estate staff, property maintenance, service contracts, and vendors across locations
- Coordinate extensive or complex international travel with precision, overseeing all logistics from flight, accommodation, transportation and visa arrangements, etc. to itinerary planning and on-the-ground execution; accompany the President when needed to ensure seamless execution and discreet handling throughout
- Handle sensitive personal and financial documentation with utmost confidentiality
- Maintain oversight of personal and household budgets, review and reconcile expenses, and ensure timely follow-up on payments and renewals, etc.
- Support the planning and execution of family events, and hosted gatherings with elevated standards and a focus on guest experience
- Provide high-touch personal assistance as required, including time-sensitive errands, scheduling, coordination with family members, and managing special requests across time zones
- A strong work ethic and be flexible to working extra hours on occasion and sometimes on short notice
- Must be comfortable around animals
Requirements
- Candidates must hold a completed university degree.
- 7β10 years of full-time professional work experience in fast-paced, high-responsibility environments; prior experience in executive support, private office, or estate operations is a strong asset
- Familiarity with estate-level administrative tasks including expense tracking, property-related compliance, and basic financial reporting
- Valid passport and full availability for frequent international travel; Valid G class driverβs license
- Pet-friendly and able to assist with pet care responsibilities
- Full fluency in both English and Mandarin is required
