As a result of continued growth in our Private Client Services (PCS) Tax practice, KLR is seeking an Office Specialist to join our team in our Providence or Boston office on a hybrid or remote basis. As a Private Client Services Office Specialist at KLR, you will be part of a collaborative team, working closely with internal team members and our clients to deliver timely and high-quality reports and services in a fast-paced environment. 

Key Responsibilities:

PCS Family Office Work (Billable) 

  • Make electronic tax payments through IRS Direct Pay and state websites
  • Bill-pay for select family groups
  • Prepare family bookkeeping and investment reporting
  • Permanent file document organization and maintenance

PCS Tax Administrator 

  • Processing tax returns of individuals and businesses for the PCS Group during peak tax season
  • Organize and process client extensions – both in paper and E-file
  • Log-in, organizing, and electronically scanning PCS clients' supporting documents
  • Monitor PCS Due Date Lists for professional staff via workflow software (XCM)
  • Prepare/Process tax engagement letters
  • Assist in developing staff training materials
  • Electronic and paper document management
  • Process and mail client/tax authority correspondence

PCS Executive Assistant General Responsibilities  

  • Provide administrative support to PCS Partners
  • Assist partners in managing their schedules
  • Team resource scheduling and staff availability
  • Assist in maintaining databases, spreadsheets, project trackers, and templates

Qualifications:

  • 3+ years prior experience in a public accounting tax operations or professional services setting
  • High level of confidentiality and integrity
  • Ability to work collaboratively with colleagues in a variety of roles
  • Strong organization, critical thinking, and problem-solving skills.
  • Good interpersonal skills, positive work ethic, and pride in workmanship.
  • Advanced-level skills in the use of Microsoft Word and Excel
  • Strong attention to detail, consistency, grammar, and punctuation.

This is a full-time position with standard hours of Monday through Friday, 8:00 a.m. to 5:00 p.m. Additional hours, including some evenings and weekends, will be required during peak busy seasons.
