General Overview
The Office Manager plays a key role ensuring the effective operation of our three offices located in Wayzata and Minneapolis, Minnesota, and Sioux Falls, South Dakota. Working independently and collaboratively, the Office Manager is entrusted with highly confidential matters related to the operations of our offices and teams. The Office Manager serves as point person for day-to-day landlord relationships, employee and vendor access control, office maintenance, office equipment, and a variety of administrative tasks. The role requires excellent communication, organization, project management, and multitasking skills as well as strong attention to detail.
Key Responsibilities
- Oversee general office operations and recommend and implement operational improvements to enhance office efficiency, effectiveness, and employee experience.
- Assists with the creation and ongoing management of office related budgets.
- Serve as day-to-day relationship manager with office landlords, property managers, vendors and local employees to ensure the effective operation of each office and team.
- Facilitate space planning and intra-office moves.
- Support and resolve employee office queries or issues.
- Manage inventory and coordinate orders for office and breakroom supplies, special orders, office equipment requests and returns.
- Oversee guest experience by answering and directing phone calls as needed.
- Coordinate in-house and off-site events, luncheons, meetings, and ad-hoc catering requests.
- Scan, upload, and distribute invoices, statements and time sensitive mail to various individuals.
- Report office issues and opportunities to management; recommend and implement office operational improvements to enhance office efficiency and effectiveness.
- Coordinate the distribution of daily inbound and outbound office mail, packages and courier requests.
- Willingness to assist with other projects assigned to benefit the overall operations of Waycrosse.
Qualifications
- High School Diploma or equivalent, required. Bachelor’s degree preferred.
- Minimum of 5 years’ experience in an office management role or executive administrative support role required.
- Excellent proficiency with all Microsoft Office applications.
- Excellent verbal and written communication skills with the ability to interact effectively with staff, clients and external partners.
- Flexibility to adapt to changing needs and organizational priorities.
- Strong organizational and time-management skills, with the ability to balance multiple priorities, projects, and deadlines.
- Ability to manage inventory levels and place replenishment orders for various supplies used throughout the office.
- Must be detail-oriented and have strong problem-solving skills.
- Valid Driver’s License, with no major violations within the last 3 years.
- Reliable transportation with the ability to commute to other office locations.
- Strong attention to detail, initiative, work ethic, and a positive attitude.
- Ability to work effectively both independently and as part of a team.
- Ability to proactively identify, suggest, and implement process and client service improvements.
- Ability to maintain a prominent level of integrity and discretion handling confidential information.
Working Conditions
The physical working conditions of this position include an office environment where sitting and working on a computer for extended periods of time are common. Some lifting may be required so you must be able to bend, lift and carry up to 25 pounds.
Hybrid Work Environment
We currently operate in a hybrid environment where employees are expected to be in office at least 3 days per week. However, due to the nature of this role, you may be required to be in at least one of our offices 5 days per week. This work arrangement is subject to change and is at the discretion of Waycrosse. The primary office location is in Wayzata, Minnesota.
