Job Description:
A Chief of Staff supporting a family office provides high-level administrative and operational support to high-net-worth individuals. This role requires a proactive, discreet, and highly organized individual capable of managing a wide range of responsibilities—from scheduling and travel coordination to property management and financial support. The ideal candidate brings a combination of executive assistant experience, project management skills, and financial acumen to ensure the seamless execution of personal, professional, and philanthropic priorities.

 

Key Responsibilities:

·       Administrative Support: Manage calendars, contacts, mail, correspondence, phone communications, and meeting documentation. Handle day-to-day tasks including board liaison scheduling, vehicle support (licensing, insurance, servicing), credit card rewards and disputes, passport renewals, dining reservations, and more.

·       Travel Coordination: Arrange and manage detailed domestic and international travel plans, including flights, hotels, car services, boarding passes, and rental vehicles.

·       IT Support: Coordinate technology services in response to outages, security issues, and other technical disruptions. Manage scheduling and follow-ups for repairs or service calls.

·       Property Management: Oversee property maintenance, seasonal openings/closings, renovations, and vendor management across residences located in Pennsylvania, New Jersey, and Florida.

·       Project & Research Support: Conduct research and manage ad-hoc personal and business projects while maintaining detailed records and progress tracking.

·       Liaison & Communication: Act as a point of contact between the family, vendors, service providers, and external stakeholders to ensure seamless communication and task execution.

 

Requirements:

·       Must demonstrate the utmost professionalism and discretion in handling sensitive information and personal matters.

·       Capable of managing multiple priorities and projects independently with high attention to detail.

·       Excellent verbal and written communication, along with strong relationship-building skills.

·       Advanced skills in Microsoft Office Suite and relevant communication and scheduling platforms.

·       A solid understanding of financial matters, including insurance, investments, tax, and estate planning, to assist in supporting legal and financial professionals.

·       Willingness to run errands and work outside of standard business hours when needed.

 

Qualifications:

·       Bachelor’s degree or equivalent experience required.

·       Minimum of 5 years of experience, preferably in a family office or supporting C-level executives.
