Executive Assistant Role:
The Executive Assistant provides confidential administrative, clerical, and office management support to the Chairman and, on occasion, the Chief Financial Officer. This role is designed to relieve senior executives of both business and personal administrative duties, improving overall efficiency and time management
Executive Support
Manage and coordinate all aspects of executive travel, including flight bookings, hotel reservations, ground transportation, and detailed itineraries
Serve as the primary contact for scheduling and adjusting reservations
Handle confidential administrative and clerical tasks to optimize the executive's time and efficiency
Complete various personal errands and tasks for the executive and their family
Financial Recordkeeping
Track and issue payments for personal expenses
Record personal transactions using financial software such as Quicken and Excel
Monitor account balances and prepare end-of-month financial reports
Office Management
Liaise with building management on facilities and maintenance issues
Answer and manage phone calls for key executives as needed
Monitor and manage inventory of office supplies, water, coffee, and other essentials
Maintain and update the office master calendar
Departmental Support
Provide administrative support to additional departments
Legal Organize legal documentation and assist with correspondence
Risk Management Assist with documentation and tracking related to insurance, compliance, and mitigation efforts
Human Resources Support with scheduling, documentation, and coordination for HR-related activities
Communication and Coordination
Interact with a variety of internal and external contacts in a professional and courteous manner
Use discretion and judgment to handle sensitive and confidential matters
Work independently to prioritize and complete a wide range of administrative duties


Executive Assistant Background Profile:
Associate's or Bachelor's degree preferred.
Minimum of 10 years of executive-level administrative experience
Proficiency in Microsoft Office Suite Word, Excel, Outlook
Familiarity with office equipment such as scanners, color printers, and fax machines
Experience with personal finance software such as Quicken
Valid driver's license with a clean driving record
Ability to handle confidential information with discretion and professionalism
Strong organizational skills and keen attention to detail
Strong written and verbal communication skills
