About the Role
We are seeking a highly skilled and proactive Executive Assistant to support our CEO. This role requires a professional with exceptional organizational, communication and relationship management skills who can seamlessly manage both administrative and strategic responsibilities. The ideal candidate will have experience in stakeholder engagement, marketing or communications support and office management, ideally within a corporate or financial institution environment.
Key Responsibilities
- Provide comprehensive administrative support to the CEO, including calendar management, travel coordination, correspondence, and preparation of reports, presentations, and briefing materials.
- Serve as a trusted liaison and spokesperson for the CEO, representing the office with professionalism and discretion in interactions with internal and external stakeholders.
- Draft, review, and manage executive-level communications, ensuring clarity, professionalism, and alignment with the CEOβs direction and organizational goals.
- Lead the planning, coordination, and execution of meetings, off-sites, conferences, and strategic events, handling logistics, agendas, briefing materials, and follow-ups.
- Support initiatives related to organizational branding and internal communications, ensuring consistency in messaging and executive representation.
- Handle sensitive and confidential information with discretion, integrity, and professionalism.
- Provide oversight and coordination of operational and administrative tasks to ensure smooth office functioning.
- Support special projects and strategic initiatives as assigned by the CEO, contributing insights and recommendations for process improvement.
Who You Are
- An articulate communicator in English, acting as the CEOβs spokesperson and representing the executive office with professionalism and confidence; Mandarin skills are a plus
- Highly organized, proactive, and detail-oriented, with 5+ years of experience supporting C-level executives, preferably in financial institutions or fast-paced corporate environments.
- Skilled in managing complex calendars, coordinating travel and overseeing cross-functional initiatives.
- Adept at handling confidential and sensitive information with the highest level of discretion.
- Strong business acumen, with a Masterβs degree, MBA or equivalent professional experience.
- Capable of anticipating the CEOβs needs, balancing competing priorities and maintaining composure under pressure.
Preferred Experience
- Experience in marketing management or stakeholder engagement.
- Experience supporting strategic initiatives and cross-functional projects
- Prior experience supporting senior leadership within a financial or investment management environment.
