UHNW couple is looking for an Estate Assistant AND a Personal Assistant to join their family office. We have openings for both positions, and ideal candidates should be open to either role, as they will work on the same collaborative team where responsibilities are divided to best support the principals. This is a great opportunity to join a supportive team where you will work alongside two other assistants and report to the Chief of Staff.

Estate Assistant: This role focuses on home and residence-based operations, working onsite at the residence Monday-Friday by default. You will manage all home-related activities such as preparing Principals for travel, maintaining personal items and art collection inventory, organizing wardrobes and household goods, helping with events, preparing residences for Principals' arrival, and handling pet care coordination.

Personal Assistant: This role focuses on personal scheduling and administrative support with a hybrid work arrangement (sometimes working from home/sometimes on-site). You will be primarily involved in medical appointments, personal scheduling, and administrative coordination.Both positions require someone with exceptional attention to detail, professional presence, and proactive problem-solving skills. Previous experience in UHNW household support or startup environments preferred. Must be comfortable with dogs and have reliable transportation. Both roles require occasional travel to other residences. 130-145K+ DOE + fully covered benefits (including dependents), discretionary bonus, wellness stipend, and generous PTO. 

Responsibilities: 

  • Provide support to a busy household and collaborate with another household assistant and the Estate Manager to ensure seamless support. 
  • Coordinate with the team and vendors to address household needs. 
  • Keep all team members informed of household activities and schedule changes.
  • Contribute to shared calendar management and scheduling responsibilities. 
  • Organize personal and professional appointments (PA role focuses more heavily on medical and personal scheduling). 
  • Maintain clear communication through team messaging systems. 
  • Manage all aspects of personal wardrobe, including organization, maintenance, and seasonal rotation. Pack and unpack luggage for personal and business travel, ensuring all necessary items are included. (primarily Estate Assistant). 
  • Stock and organize toiletries, personal effects, and everyday essentials (primarily Estate Assistant).
  • Process incoming mail and packages, managing returns and exchanges as needed.
  • Create and maintain comprehensive organizational systems throughout the residence (primarily Estate Assistant). 
  • Maintain detailed inventories of fine arts, collectibles, and valuable items (primarily Estate Assistant). 
  • Oversee all pet care responsibilities, including food ordering, supply management, and medication administration. Schedule and coordinate grooming appointments, veterinary visits, and maintain pet health records. Arrange necessary pet travel documentation and certificates (primarily Estate Assistant). 
  • Serve as the primary point of contact for house guests during their stay. Prepare guest accommodations prior to arrivals, including room setup and amenities (primarily Estate Assistant). 
  • Assist with event planning, including seating arrangements, decor selection, and coordination with culinary staff. 
  • Facilitate notary appointments and document processing. 
  • Coordinate staff recognition, birthdays, and gifting programs. 
  • Travel to seasonal residences for preparation, set up, and maintain rental properties according to established preferences. 
  • Replicate household standards and stock preferences across multiple properties.
  • Manage seasonal decorations, including installation, storage, and rotation (primarily Estate Assistant). 
  • Perform various errands, including pickups, drop-offs, and time-sensitive deliveries.
  • Execute special projects as assigned by the Estate Manager or Chief of Staff.

Qualifications: 

  • 3+ years of previous experience as an Estate Assistant, Household Manager, or Personal Assistant, ideally supporting high-profile, UHNW individuals. 
  • Sharp, clear communicator with the ability to convey information concisely - both written and verbal. 
  • Professional demeanor and executive presence. 
  • Exceptional team player with strong collaborative skills. 
  • Demonstrated ability to multitask and reprioritize as responsibilities shift. 
  • High attention to detail and organization. 
  • Ability to create and maintain efficient systems. 
  • Resourceful problem-solver with the ability to find creative solutions. 
  • Confidentiality and discretion are required. 
  • Comfortable working with dogs and managing pet-related responsibilities. 
  • Valid driver's license and reliable transportation with a clean driving record. 
  • Flexibility to travel occasionally and adapt to new/unique tasks as needed.
