Your New Role

Reporting to the Manager, you’ll be the operational backbone of the Family Office team — ensuring seamless client experiences, smooth internal coordination, and well-prepared meetings and events. You’ll work across a wide variety of tasks including:

• Preparing agendas, supporting documents, and minutes for internal and client meetings
  
• Managing travel bookings and accommodation for the team
  
• Diary management, meeting room coordination, and event setup
  
• Onboarding new clients and managing updates in XPlan and other systems
  
• Organising integrated service meetings with clients and other advisors
  
• Drafting and formatting reports, tenders, letters, and presentations
  
• Assisting with marketing material preparation and editing
  
• Coordinating client billing and raising invoices
  
• Maintaining both electronic and hard copy records
  
• Supporting ad hoc requests from managers and partners
  

What You’ll Bring

• Certificate IV in Business Administration (or equivalent experience)
  
• Prior experience in professional services or a similar admin role
  
• Familiarity with financial planning systems like XPlan, Coin, or Adviser Logic (desirable)
  
• Strong Microsoft Office skills (Word, Excel, Outlook)
