They offer a consulting-first approach that addresses complex financial needs, including estate planning coordination, business consulting, and sophisticated consolidated reporting for families with significant assets.

The Opportunity

This is a pivotal time to join a firm that has recently refined its leadership and operational structure with a new Director of Operations and Operations Specialist. As the firm shifts its focus toward excellence and expansion, the Client Service Associate (CSA) will serve as a cornerstone of the advisory support team.
You will work in a high-trust, entrepreneurial environment, collaborating closely with the operations team to support advisors across the country and deliver a "white-glove" client experience. This role is ideal for a professional who thrives on organization and wants to have a direct impact on the infrastructure of a growing boutique firm

The Location

The position is based in the Greater Tampa Bay area. This location serves as the firmโ€™s primary hub and home office, where they are centralizing core support and operational teams to ensure a collaborative culture.

What You Will Do

The CSA manages the day-to-day back-office operations and administrative needs that allow advisors to focus on client strategy. Primary responsibilities include:
  • Account Management: Handling the full lifecycle of client accounts, including opening new accounts, onboarding, ACATS transfers, and custodial documentation.
  • Operations: Coordinating money movements such as wires and distributions, and interfacing with major custodians.
  • Advisor Assistance: Maintaining and updating client records in CRM systems and ensuring account maintenance requests are processed efficiently.
  • Client Support: Serving as a primary point of contact for service requests and confirming completion of administrative tasks with clients.

90-Day Success Roadmap

  • First 30 Days: Onboard with the new Director of Operations (starting late March) to learn internal workflows and the firm's specific service model. Become proficient in navigating the Wealthbox CRM and custodial platforms like Wealthscape.
  • First 60 Days: Begin independently executing assigned tasks from advisors, including account openings and money movements, while maintaining East Coast market hour availability.
  • First 90 Days: Fully integrated into the operational team as a "steady" contributor, managing a high volume of transactions with meticulous attention to detail and zero upward-growth pressure.

Who You Are

The firm is seeking a "Steady Eddy"โ€”an experienced professional who finds fulfillment in the CSA role and is not looking for immediate upward movement.
The Ideal Candidate:
  • Experience: 5โ€“10+ years of experience as a CSA, preferably within an RIA environment.
  • Technical Savvy: High proficiency with Schwab Advisor Center is required. Strong experience with Wealthscape (Fidelity) and CRM systems like Wealthbox is also highly preferred.
  • Skills: Exceptional organizational skills and the ability to work within strict market-hour deadlines for wires and transfers.
  • Mindset: You enjoy the high-impact small business setting and are comfortable supporting advisors remotely across multiple time zones

Flexibility & Work-Life Integration

While the role is primarily in-office in the Greater Tampa Bay area to ensure operational cohesion, the firm values a culture that is process-oriented yet flexible. The team works across multiple time zones, generally following market hours (approximately 9:30 AM to 6:00 PM ET) to meet daily custodial cut-off times. The firm also hosts periodic firm-wide excursions and morale-building team events
