The position offers a competitive compensation package including base salary, performance bonus, equity consideration, excellent medical, and retirement plans.

PRIMARY RESPONSIBILITIES

Primary responsibilities will include, but not be limited to:

Grants Administration

  • Request documents for due diligence review of grant applicants
  • Process grants in Foundant (online grants management system)
  • Track/monitor pending grants to ensure requirements have been met
  • Prepare grant agreements for multi-year grants, challenge grants, expenditure responsibility grants and complex grants
  • Process and prepare grant checks for disbursement
  • Acknowledge and respond to letters of inquiry received
  • Coordinate and process Donor-Advised Fund grants

Client Service Duties

  • Prepare meeting materials for client Board meetings
  • Assist /draft board minutes
  • Schedule and coordinate client meetings and conference calls: board meetings, investment meetings and site visits
    • Prepare monthly, quarterly reports to clients as required
    • Assist clients with online access to account portfolios
    • Coordinate with accounting department and interface with auditors and tax preparers
    • Schedule and attend site visits with clients to various nonprofit organizations
    • Respond to client/board member calls/inquiries promptly and professionally

Office Administration

  • Process cash transfers and wires through Addepar accounting system; monitor clients’ fund balances
    • Maintain/update quarterly foundation compliance requirement report
    • Coordinate closely with other company departments (tax, operations, investment, client administration, insurance, business development and others as required) regarding nonprofit client matters
    • Open new foundation, non-profit and donor-advised fund accounts using SalesForce
    • Prepare year-end accounts reconciliation, fees projection report
    • Prepare tax preparation packet and compile documents for audit
    • Participate in internal committees or task force as needed

DESIRED EDUCATION

  • Bachelor’s degree from an accredited 4 year university
  • Industry certification an advantage but not essential - (CTFA, CFP or CAP)
  • Willingness to continue education (CTFA, CFP or CAP)

DESIRED EXPERIENCE & SKILLS

  • 0 -3 years experience in similar industry
  • Understanding of 501(c)(3) organizations
  • Highly proficiency in Adobe Acrobat, Microsoft Office Suite applications, including, Excel, Word, PowerPoint and Outlook
  • Superior skills and experience with Microsoft Office, especially Word, Excel and PowerPoint.
  • Excellent written and oral communication skills.
  • Superior organizational skills with ability to multi-task and to manage and prioritize multiple projects and competing deadlines.
  • General office administration and clerical experience.
  • Excellent attention to detail with the ability to exercise independent judgment.
  • Aptitude to understand and perform basic mathematical calculations such as fee calculations, and other percentage-based calculations.
  • Ability to learn new processes and programs and desire to grow with the company.

COMPENSATION

Base salary range

$65,000 - $85,000 annually

Salary may vary depending on job-related factors including, but not limited to, skills and experience. Full-time employees may be eligible for a comprehensive benefits package that includes: medical, dental and vision coverage, 401(k), life insurance, paid time off and a Wellness Program. Annual bonus, incentive pay and/or equity may also apply depending upon the role.
