Job Description: Chief of Staff – Private Family Office (remote in Michigan, United States)
Position Overview
The Chief of Staff will serve as the right hand to a high-net-worth individual and their family, providing operational oversight, executive coordination, and day-to-day support across personal, family, and business matters. This is a high-trust role that requires exceptional organizational skills, judgment, and the ability to manage multiple priorities with professionalism and discretion.
The Chief of Staff will act as a central point of contact for household, administrative, legal, and financial matters, ensuring alignment across the family’s personal needs and business interests.
Requirements
- Bachelor’s degree required; background in business, communications, or public administration preferred
- 5+ years of experience in a chief of staff, executive assistant, private family office, or operations management role
- Strong project management and multitasking ability
- Highly discreet and professional with impeccable judgment
- Excellent written and verbal communication skills
- Comfortable working in a fast-moving environment with shifting priorities
- Tech-savvy and proficient in tools like Microsoft Office, Google Workspace, and task/project management software
Responsibilities
- Strategic & Administrative Support
- Act as a trusted advisor and gatekeeper to the principal, helping manage priorities, schedules, and information flow
- Coordinate communication and tasks across family members, advisors, business executives, and staff
- Manage calendars, scheduling, travel logistics, and major events with a focus on proactive planning and alignment
- Operations & Vendor Management
- Oversee key household and administrative operations, including property management, vendor relationships, and service contracts
- Manage ongoing projects such as renovations, family travel, or asset maintenance across properties
- Ensure timely execution of recurring tasks such as insurance renewals, document management, and household payments
- Family Coordination
- Support the principal’s children (teenagers/young adults) with logistics related to school, travel, internships, and personal milestones
- Serve as a discreet liaison for family-related needs, including health, wellness, and education coordination
- Advisor & Professional Liaison
- Serve as a point of contact for external advisors (legal, tax, financial), helping coordinate documents, meetings, and timelines
- Track deliverables and follow-ups from attorneys, accountants, and other third parties to ensure nothing falls through the cracks
- Information & Task Management
- Maintain organized records and task lists related to both personal and business matters
- Help manage inboxes, correspondence, and documentation as needed
- Research and prepare briefing materials, memos, or summaries for upcoming decisions or meetings
