Key Responsibilities

The Relationship Management Associate supports the Family Office Services Relationship Management team in delivering an exceptional client experience to Ultra-High Net Worth (UHNW) individuals and families. This role serves as a key coordination and support partner to Relationship Managers by assisting with client communications, presentation preparation, meeting coordination, onboarding activities, business development initiatives, and relationship management operations.

 

The ideal candidate is highly organized, detail-oriented, proactive, and client-service driven, with strong communication and project management skills. This individual thrives in a fast-paced environment and enjoys supporting complex client relationships while helping drive operational excellence and business growth.

 

Relationship Management

  • Support Relationship Managers in the preparation of client meeting materials, presentations, agendas, and follow-up deliverables.
  • Prepare customized prospective client proposals, pitch materials, and relationship presentations.
  • Attend internal and client meetings as appropriate and document detailed meeting notes, action items, and relationship updates.
  • Maintain and manage client relationship timelines, activity trackers, and follow-up schedules.
  • Coordinate ongoing client outreach and maintain meeting cadence calendars to support proactive relationship engagement.
  • Assist with drafting client communications, meeting summaries, and presentation materials.
  • Ensure client information, activity notes, and relationship updates are accurately maintained within Salesforce and other internal systems.
  • Support coordination across internal teams and external advisors to facilitate seamless service delivery and follow-through.

 

Client Onboarding & Coordination

  • Assist in coordinating onboarding activities for new clients and new service engagements.
  • Track onboarding workflows, documentation requirements, and implementation timelines to ensure a smooth and organized client experience.
  • Partner with operational and administrative teams to support account setup, information gathering, scheduling, and onboarding logistics.
  • Monitor progress of onboarding tasks and proactively escalate issues or delays as needed.
  • Help ensure consistency and accuracy in onboarding materials, presentations, and process documentation.

 

Business Development & Prospecting Support

  • Support business development initiatives through online research, database sourcing, and prospect identification activities.
  • Conduct research on prospective clients, family offices, executives, entrepreneurs, and centers of influence.
  • Maintain prospect pipelines, outreach tracking, and CRM reporting for Relationship Managers and leadership.
  • Assist with preparation and coordination for prospective client meetings, industry events, and networking initiatives.
  • Support development of client-facing materials, market intelligence summaries, and relationship management resources.
  • Help maintain business development activity calendars, outreach schedules, and pipeline reporting.

 

Operational & Administrative Support

  • Coordinate scheduling and logistics for client meetings, internal planning sessions, and external advisor calls.
  • Organize and maintain relationship management documentation, files, and presentation materials.
  • Assist with special projects, process improvement initiatives, and team operational support as needed.
  • Help manage recurring deliverables and ensure deadlines are met consistently and accurately.
  • Support the implementation and use of technology tools that improve organization, workflow management, and client service delivery.

Qualifications

Qualifications

  • Bachelor’s degree preferred in Business Administration, Communications, Finance, Marketing, or related field.
  • 3–5 years of experience in client service, relationship management support, executive support, project coordination, family office services, or other high-touch professional environments preferred.
  • Strong organizational and project management skills with the ability to manage multiple priorities simultaneously.
  • Excellent written and verbal communication skills.
  • High level of professionalism, discretion, and attention to detail.
  • Experience preparing presentations, proposals, meeting materials, and client communications preferred.
  • Experience with Salesforce or other CRM platforms strongly preferred.
  • Ability to work collaboratively across teams and support multiple stakeholders effectively.
  • Proficiency with Microsoft Office Suite, particularly PowerPoint, Excel, Word, and Outlook.
