About Your Company

This licensed financial services firm in Hong Kong provides brokerage, securities, futures trading, and asset management, with a strong emphasis on regulatory compliance and client transparency. Its family office is hiring an Assistant to the CIO to cope with a busy executive schedulehandling meeting coordination, logistics, confidential information, and representing the CIO at events. The position calls for a proactive, well-presented individual who can manage frequent external engagements and occasional travel, ensuring the smooth day-to-day functioning and effective support of the executive team.

Job Responsibilities:

• Accompany the CIO to off-site meetings and events as needed.
• Manage and coordinate the CIOs schedule, meetings, and calendar proactively.
• Arrange meeting logistics, prepare paperwork, and book meeting rooms.
• Provide professional and timely responses to calls and emails.
• Represent the CIO at events or meetings when required.
• Prepare travel and expense (T&E) claims and manage claim procedures.
• Liaise with audit firms and external parties.

Job Requirements:

• Prior experience as an Executive Assistant or Personal Assistant supporting C-level executives is preferred.
• Able to maintain a corporate, polished, and presentable demeanor; capable of representing a senior executive.
• Skilled in handling confidential information and interacting with external partners.
• Strong organizational and time-management skills; adaptable and proactive.
• Excellent communication skills in English (verbal and written); conversational in Mandarin.
• Willingness and physical ability to attend off-site meetings and events regularly.
• No investment background required.
