Overview:

We are seeking a high-energy, organized and detail-oriented Administrative Assistant to support our family office with bookkeeping, property management and general administrative duties. The ideal candidate will be proactive, resourceful, and capable of managing multiple responsibilities with efficiency and professionalism.

What You Will Do: 

  • Submit, track and reconcile expense reports
  • Maintain accurate financial records, process invoices, and reconcile accounts.
  • Support financial reporting and data entry
  • Work closely with financial and legal professionals to ensure compliance
  • Coordinate and schedule property maintenance requests and ensure timely upkeep
  • Monitor contracts with vendors and service providers.
  • Provide on-site support for property maintenance and upkeep
  • Coordinate travel planning and arrangements
  • Maintain filing systems and contact lists
  • Answer and direct phone calls and emails
  • Organize and schedule appointments and meetings
  • Write and distribute emails, letters, forms, etc.
  • Perform other duties as assigned by management

 

Qualifications and Requirements: 

  • Proven experience as an Administrative Assistant, Office Assistant or Administrative Coordinator
  • Experience with bookkeeping and bookkeeping software
  • Completion of a degree in a related field
  • Working knowledge of office equipment (printers etc.)
  • Proficiency in Microsoft Word, Excel, PowerPoint and Outlook required
  • Knowledge of office management systems and procedures
  • Ability to multitask and prioritize effectively
  • Exceptional organization and time management skills
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • High level of confidentiality and discretion dealing with sensitive information
