Our client is a Family Office based in the Canton of Geneva. We are recruiting an Administrative and Office Assistant who will provide support and assistance to the Senior Executive Assistant and work closely with the whole team of the Family Office.
Your mission and contribution
Reception and Office Coordination:
- Greet visitors, handle solicitors
- Answer phone calls and respond to general inquiries and emails.
- Act as a backup point of contact for office suppliers (incl. express couriers, post office, notaries, etc.).
- Ensure the office premises are well-organized and ready to welcome visitors at all times.
- Organize global phone/video calls and possible large events with external parties.
- Collaborate with office staff to maintain an organized and efficient office environment.
- Assist with office supply management, technology troubleshooting, and coordination of maintenance services.
Personal Support:
- Act as the backup point of contact for the family members, addressing their needs and requests promptly and professionally.
- Manage complex calendars, appointments, and travel arrangements, considering time zones, preferences, and potential conflicts.
- Coordinate personal events, gatherings, and celebrations, handling logistics, invitations, and any necessary arrangements.
Requirements
- Previous experience as an Administrative and Office Assistant, or in a similar support role is a plus.
- Organizational and time management skills, with a keen eye for detail.
- Excellent verbal and written communication abilities. (French and English)
- Proficiency in Microsoft Office Suite and other relevant software applications.
- Ability to adapt to a fast-paced and dynamic environment, managing multiple priorities effectively.
- A high level of professionalism, integrity, and discretion.
- Previous experience working in a single-family office or with high-net-worth individuals is a plus.
- Handle sensitive and confidential information with the highest level of discretion and integrity.
- Uphold confidentiality in all communications, actions, and interactions, always maintaining the Familyโs privacy.
- Flexible and Adaptable: Ability to respond swiftly to changing priorities and work demands.
